Recreation Coordinator - Special Events

The City of Polk City is seeking an individual for the role of Recreation Coordinator - Special Events.  Under the general supervision of the Parks and Recreation Director, this permanent part-time position will be responsible for planning, coordinating, and overseeing City sponsored special events.  Special events may include, but are not limited to, festivals, farmers’ markets, concerts, and seasonal events. This position acts as on-site coordinator, exercising a moderate level of discretion in the interpretation and application of policies, operating procedures, and rules in organizing and directing event staff and volunteers throughout events.

DUTIES AND RESPONSIBILITIES:

  • Organizes, coordinates, promotes, and facilitates special events to benefit community members and guests visiting Polk City; Conduct and oversee special events.
  • Schedule and maintain communication with event contractors, producers, vendors, and participants.  Coordinates and monitors event timelines; reviews success of event and makes recommendations for changes.
  • Works collaboratively with community partners, service groups, clubs, organizations, agencies, and City staff to generate ideas for events, conducts research on similar events in other locations including feasibility evaluation; recommends events for implementation.
  • Designs and produces marketing programs related to promotion of events including written materials and community outreach through media. Acts as point of contact for promotion of activities and special events.
  • Actively seeks event sponsors and maintains those relationships.
  • Assists in setting event fees, establishing event budgets, and complying with City and department revenue policies.  Assists in compilation of applicable reports and budgets.
  • Monitors revenues and expenditures within assigned areas to ensure sound fiscal control.
  • Utilizes electronic software to oversee registration for scheduled events, assists participants in the registration process, accounts for registrations and payments for programs and events, maintains registration records and reviews registration materials.
  • Maintain awareness of new developments in the field of parks and recreation.
  • Assists with facility maintenance as needed.
  • Assists with facility rentals as needed.
  • Assists with recreation programming as needed.
  • Attend staff, Parks and Recreation Commission, and City Council meetings as requested by the Parks and Recreation Director.
  • Adheres to all City policies and procedures.
